SubmitX: pros, cons and limitations

Before you trust software with your quotes, your clients and your invoices, you need to know its limits. Here are the drawbacks people mention to us most often, unfiltered, and what SubmitX actually does about each one. Every fact points to a public policy you can check.

Drawback 1The AI can make mistakes in a quote

It's true

Any AI can get things wrong: it might forget travel costs or an access fee, or overestimate a quantity. Our terms of use say it clearly: the contractor remains responsible for the final price.

What SubmitX does
  • An AI-generated quote arrives with the status "Pending validation". You must validate it before it can be sent.
  • Every line can be edited: quantity, unit price, labour, fees. Totals, GST (5%) and QST (9.975%) are recalculated automatically.

Tip: during the trial, create 5 to 10 real quotes and compare them with your usual calculations.

It's true

The price of each plan is given on request, based on the size of your team: you have to write or call us to find out. And a complete plan like Pro is still a real budget for a few contracts a month.

  • A permanent Free plan with unlimited quotes.
  • The Starter plan is enough for most companies of 1 to 3 people.
  • No per-user fees: the price is fixed up to 3 (Starter) or 25 (Pro) users.
  • Asking for a price commits you to nothing (a form on every plan on the Pricing page), and there are no mandatory setup fees. Traditional construction ERPs often require thousands of dollars in implementation (see our comparisons).

What you need to know

AI features (quote generation, plan analysis, TakeOff) use credits. Analyzing a large document costs more than a short task.

The rules
  • 1 credit for a quick task, 3 credits for a standard generation, 8 credits for an advanced analysis. Large files cost more.
  • Plan credits renew every month. Credits you buy do not expire from one month to the next.
  • There is never an overage charge: with no credits left, the AI stops and the rest of the software keeps working.
  • Credit packs: from 100 to 8,000 credits (pricing on request).

Drawback 3You become dependent on a single platform

It's a real risk

Putting clients, quotes, invoices and projects in a single piece of software is convenient, but you need to be able to leave.

What SubmitX does
  • Full account export in one click: quotes, projects, clients, contacts, employees, invoices, subcontractors.
  • CSV or Excel exports by module (clients, quotes, invoices, timesheets, tax reports), plus Acomba and Sage 50 accounting exports, and a ZIP per quote (PDF and attachments).
  • Cancelling doesn't delete your data: your account goes back to the Free plan and stays viewable. If you close your account, you have 30 days to export your data before it is permanently deleted.
  • Sync with QuickBooks Online: your bookkeeping also stays in your accounting software.

Drawback 4Data goes through several providers

It's true

Like almost all cloud software, SubmitX relies on specialized subprocessors. Some are located in the United States.

What SubmitX does
  • The database and files are hosted in Canada: Supabase, AWS region ca-central-1, in Montreal.
  • The main processing in the United States: AI (Anthropic), application hosting (Vercel), payments (Stripe, PCI DSS Level 1 certified) and email (Resend). The full list is in our privacy policy.
  • No training on your data: Anthropic does not use data from its commercial API to train its models, and SubmitX does not train any model on its clients' data.
  • Company-level isolation in the database (Row-Level Security), two-factor authentication (2FA) that the company can make mandatory for sensitive roles, permissions by employee and by module, and an audit log.
  • Card numbers are never stored by SubmitX (they are processed by Stripe).

Drawback 5The refund terms are strict

It's true

Subscriptions are not refunded on a prorated basis, and the optional data migration (pricing on request) is non-refundable once paid.

Why it's not a trap
  • You test for 7 days free, with no credit card. With no card on day 7, the trial simply stops, at no cost, and you keep the Free plan with your data.
  • The monthly plan has no commitment: you cancel yourself, at any time, from the dashboard. No phone call needed.
  • Migration by our team (pricing on request) is optional: you can import your Excel or CSV files yourself at no charge.

Tip: start monthly. Switch to yearly (about 10% off) once you're convinced.

Drawback 6Too many features for a small business

True for some

A chimney sweeping company or a self-employed worker doesn't need CCQ payroll, SEAO or the BIM model.

What SubmitX does
  • Nothing forces you to use everything: quotes, clients and invoices work on their own.
  • You choose each employee's access, module by module (none, read or edit).
  • No à la carte modules or hidden options: each plan includes a fixed set of features, and the Free or Starter plan is enough for simple needs.
